MAIN STREET FEST VENDOR INFORMATION

Main Street Fest features a wide range of vendors, from food to artists to clothing to hand-crafted wine accessories and more. We would love to help you showcase your product and talents. Apply to join us this year! Applications will be accepted until 5 p.m. on March 17, 2025.

(FAQ: What's the difference between an "Artisan" vendor and a "Marketplace" vendor? A: "Artisans" are small mom-and-pop operations that typically make a limited number of handmade items in a small facility or garage. These items are not sold in any retail front. "Marketplace" vendors typically have a retail store, multiple employees or a larger production facility to mass-produce items. Any pre-packaged food items are considered Marketplace items.)

Below is the form you'll need to complete for your application to be a Main Street Fest vendor. You'll also have to download and fill out a Hold Harmless agreement. Once it is filled out, please email it to Diana O'Bryan at the email address above.

To ensure the safety and well-being of our festival patrons and vendors, we have enhanced our security and hardened the festival perimeters at considerable expense. In order to continue providing opportunities for small businesses to profit and civic service organizations to raise funds, we are asking you to contribute a small amount to this considerable cost through an increase in booth space.

One 110 volt electrical outlet will be provided.

No alcoholic beverages may be sold.

Upon completion of festival, provide final sales statement to festival management.

This festival is an outdoor event located in Grapevine's Historic Main Street District. The event is held RAIN or SHINE. No refunds will be issued for inclement weather.

There are no provisions for water

No amplified sound equipment allowed in booth.

The Grapevine Convention & Visitors Bureau will not assume responsibility for damage or theft of your property.

We do not offer any exclusives in any category.

Festival Dates: May 16, 17 and 18, 2025. Friday & Saturday: 11 a.m. - 11 p.m. Sunday: 11 a.m. - 6 p.m. (Checking yes acknowledges, if accepted, I will be open all dates/times.)

Vendors are required to provide a minimum $2 million of general liability insurance. A copy of your certificate naming Grapevine Convention & Visitors Bureau and the City of Grapevine, 200 S. Main St., as additional insured must be on file by April 28.

The 41st Annual Main Street Fest is a three-day festival. Each booth must be staffed at all times. Festival hours are as follows:

o Friday: 11 a.m. – 11 p.m.
o Saturday: 11 a.m. – 11 p.m.
o Sunday: 11 a.m. – 6 p.m.

All vendors shall conduct themselves in a professional manner while at Main Street Fest. This includes being respectful to Main Street Fest organizers, festival guests, volunteers and other vendors.

The Main Street organizers reserve the right to ask any vendor not adhering to these standards to vacate the premises. Submission of your application means acceptance of the Vendor Information and Requirements.

The following must be Vendor provided:

o A free-standing covered tent, tables, chairs, supplies and lighting
o A minimum of one (1) 100 ft.14-gauge electrical cord to power the booth
o Decorations for your booth that do not exceed the limits of your designated booth space
o Rolling carts, dollies and the extra help needed to load in, set up, tear down, and load out the booth.

Load-in will take place Thursday, May 15. Set-up times will vary based on booth location. Efforts will be made to position your vehicle as close to your booth as possible for unloading. Detailed load-in and set-up instructions will be given in an email.

For restocking purposes, vehicles will be permitted on the grounds during the following hours only:

o Friday and Saturday nights between 12 a.m.– 1 a.m.
o Friday, Saturday and Sunday mornings between 7 a.m. - 9:30 a.m.

Due to public space limitations, vendors may not exceed the perimeter of their booth space. If you believe a 10X10 booth space is too small, please purchase a larger booth space.

Each vendor will receive two (2) complimentary weekend passes. Festival admission is free until 5 p.m. on Friday. If you need additional passes, they may be purchased on-site for $5 each from your Vendor Liaison(s) on Friday.

Complimentary vendor parking and shuttles will be provided at two designated parking lots:

o Lot #1 • 3000 Grapevine Mills Parkway. Drop off & pickup is at the North Gate at Northwest Highway and Main Street.
o Lot #2 • Grapevine Library Location: 1201 Municipal Way

Additional Parking Options:

o Lot located at: 411 Ball St. between College and Wall Streets. Shuttles from this lot require a pass which can be provided upon request.
o Parking Garage located at Hotel Vin, 255 E. Dallas Road (south end of the festival, closest to Gate 15) Cost is $15
o Paid Parking Lots (many managed by local civic and service groups)
 Extended parking is not allowed in these lots without prior agreements between the managing group(s).

No pets are allowed within the festival grounds except for ADA-approved service dogs.

Vendors may only sell items that were listed in their application and approved by the Vendor Selection Committee. Requests for changes or additions to product listing must be received in writing by May 1 & can be emailed to DObryan@GrapevineTexasUSA.com

Texas is warm in May. Remember to dress accordingly and drink plenty of fluids. All of the necessary items for you to take precautions are to be vendor provided.

During the festival, cardboard and glass items are recycled. Recycle bins are located throughout the festival grounds.

All sales must be made from a vendor’s assigned booth space. No roaming sales, bullhorns, megaphones, flashing lights, strobes, speakers or amplified sound are allowed.

Acceptance and participation in this festival does not guarantee a space in future festivals.

Upon acceptance as a festival vendor, more information will be mailed in April.
